AI automation isn't a single product you buy. For a service business it's a short list of jobs that happen every day and don't need a person to start them, like answering the same handful of questions after hours, routing a new enquiry to whoever can actually help, chasing a quote that's gone quiet, or writing up a call so nobody re-types it. We have been building and running systems like these inside our own operation for years, which is where the approach below comes from. We find the job eating the most money or the most of your team's time, build that one properly, and measure it against how the work runs today before anything else gets touched.

Scoping and Discovery

How much scoping a job needs depends on the job. An assistant answering the same dozen questions your front desk already answers can be priced on a call. Something that reaches into several systems that all have to agree with each other cannot, and pretending otherwise is how these projects go wrong. Where the work is genuinely complex we run discovery as its own paid, fixed-scope piece, quoted before it starts, and you walk away with the written map and a firm price for the build whether or not you build it with us.

AI Chat Assistants

A trained assistant on your website that answers real questions about your services, hours, pricing and process, then books straight into your calendar. It stays anonymous until the moment someone chooses to book, so people can ask the awkward question without handing over their name first.

AI Agents

Where a chat assistant answers the question, an agent finishes the job. Someone emails at 8pm asking about an emergency appointment, and instead of that sitting in an inbox until morning, it reads what they wrote, finds the next opening, offers them a time, and files the exchange where your front desk can see it. Any agent we build for you gets a short written list of what it's allowed to do on its own, a person in the loop for anything outside that list, and a documented fallback for the moment it can't finish.

Lead Management

Enquiries come in from your website, your phone, your Google Business Profile and your ads, and in a lot of offices they land in separate places nobody checks at the same time. We route them into one system, tag where each one came from, and flag the ones nobody has replied to, so a new patient doesn't sit overnight because the message arrived in the wrong inbox.

Marketing Automation

The follow-ups, reminders and re-engagement messages that keep running once they're built. Written in your voice, triggered by what someone did rather than by a date on a calendar, and wired so a real reply from a customer always pulls a person back into the conversation.

Model Choice and Hosting, Matched to You

There is no single right model. A clinic handling health information has different constraints than a contractor chasing quotes, so we choose on privacy, residency and running cost rather than habit. Whatever we pick runs in a cloud account your business owns, your conversations aren't used to train anybody's model, and personal details get scrubbed out before a message reaches it. At launch you get a plain-language document covering what's stored, where it sits and how long it's kept.

Work out how much scoping this actually needs

On the first call we work out whether this is a job we can scope and price there and then, or one that needs proper discovery first. Plenty of automations are the former. If it means days spent learning how your business really runs, or getting into a stack with several systems and their exceptions, that is real work and we quote it as its own piece rather than burying it in a build price. Either way it is a fixed number of hours for a fixed deliverable. Open-ended discovery is how these projects get expensive, so we do not do it.

Pick one workflow and scope it

We choose one job to automate first, and we look for the one that happens most often and causes the least trouble if it gets something wrong. Starting with one job means you can judge the result on something real before the budget grows, and it keeps the first build small enough that we can put a fixed price and a target date on it before you commit.

Design the architecture and the safety layer

Before a line of code gets written, we decide which model fits, where data lives, what it is allowed to see, and what happens at every point it could fail. Model choice comes out of your constraints rather than ours, so a practice handling health records and a contractor chasing quotes do not end up with the same setup. This step also covers scrubbing names, phone numbers and email addresses out of a message before it reaches the model, and writing fixed, pre-approved responses for crisis and safety situations that keep working even when the rest of the system is degraded.

Build it in an account your business owns

The system runs on an Amazon Web Services account opened in your business name, in the region you need, connected to the tools you already use, like Microsoft 365 Bookings for calendars and confirmations. We open and configure that account during the build, so there's nothing technical for you to sort out, and Amazon bills you directly for the running cost, which you see estimated before you approve anything. Public entry points are protected from bots and spam with Cloudflare Turnstile. Your account, your data, and no dependency on us to keep the lights on.

Test the failure paths, not just the happy one

Anyone can demo the conversation that goes well. We check what happens when the model is unavailable, when someone types something the assistant shouldn't answer, and when the calendar refuses a booking. Each of those gets a written fallback that still moves the customer toward a real answer or a real person.

Launch, hand over, and review with real traffic

At launch you get a plain-language data map, full written documentation of how the system works, and a list of every failure mode and what it does. Then we watch the first weeks of real conversations together and tune what the transcripts show, rather than what we assumed in the planning session.
